4 Signs That It’s Time to Find a New ATS

It looks like it’s that time of year again. That time of year where you review your recruiting system and think do I really need this? In many ways, a good applicant tracking system (ATS) can turn you into a recruitment maestro but when your ATS is bad, it’s really bad. With so much going on, you definitely don’t need an ineffective ATS to add to the stress of things. If any of the 4 signs below resonate with you, then maybe it’s time to re-evaluate your ATS…

1) Not Helping You Achieve Your Goals

We all have that one embarrassing pre-ATS memory where an email template saying “Hi (INSERT NAME HERE)” was sent to an awesome candidate instead of including their actual name. Cringe. It’s likely that you decided to get an ATS because you were finding it tough to keep up with each and every candidate that you contact each day. If you’ve had your ATS for more than 12 months and you still haven’t seen an improvement in your KPIs then it needs to be altered. A lot of the time your ATS just needs a bit of a shove in the right direction and tools like Zapier and Ebsta can integrate your ATS with sites like LinkedIn to ensure that your system is much easier to use.  

2) Your Team Rarely Use It

Pre-ATS your team used three screens to monitor candidates – one screen for LinkedIn, another for Excel and the third for your calendar. Post ATS implementation, and your team still has the same setup. Believe it or not but life could be a lot easier (and less cluttered) if you had all of this information in one browser window however this is easier said than done… Usability is crucial when it comes to ATS. Chances are you’ve spent hundreds or even thousands on your ATS so why aren’t you using it? If your tracking system is so confusing that you’re struggling to understand it then maybe it’s time for the relationship to come to an end.

3) You’re Not Using the Majority of the Functionality

When you were looking for a new ATS it’s likely that you were immediately drawn in by the idea of having access to analytics, 2-way text messaging and candidate evaluation. Fast forward to now and you don’t even touch these features. There’s really no point in investing in something that you don’t use. While these features are certainly helpful, it’s important to evaluate their usefulness. If you feel like they should be utilised to improve your recruitment processes it may be time for you to invest in a plugin to facilitate the use of your tracking system. Cube 19, InsightSquared and Ebsta are all examples of plugins that make activities like reporting and user adoption even easier.

4) Poor Keyword Filters

Before you set up your ATS, you were overwhelmed by the sheer volume of CVs you were receiving. Now, you’re struggling to to get applicants. Does this situation sound familiar? Well, it’s possible that your ATS is the reason why your job posts are far from popular… An ATS is an incredibly sensitive system so if you set it and forget it you’re likely to run into problems.  The best way to ensure that this doesn’t happen again in the future is to test, test and then test again. It’s best to do a trial run with the CVs of your pre-ATS employees, if your ATS rejects these candidates then it’s definitely time to either find a new ATS (if the keyword filters can’t be changed) or drastically loosen the filtering options.
